Customer & A/R Features
The customer file is the most used record. It is where all transactions for a particular customer can viewed and retrieved in seconds. You will have total control over your customer because all the data is located right off the customer record screen. You won't need to ask any questions. You'll have all the answers in front of you. Customers will no longer be able to say "I'm not sure if I paid that invoice." Customer File Can hold more than 2 billion customers - If you can find a computer big enough! And, unlike some systems, SNAP-2-IT won't bog down with lots of data. Customer selection window can be instantly sorted - By name, ID, street, city, zip code, phone, or one of your own fields. This means you can instantly locate a customer by phone number, zip, name or ID. You can even enter a partial street address and find the rest. Customer screen can be totally customized - ALL field names can be changed. FIVE note files for each customer - Keep marketing notes separate from collections, service, etc. Special report will allow you to keep track of user entering notes. Great for collections. Unlimited ship-to file - File can be defined for each customer with no limits, of course. Average days to pay - Displays in the customer account part of the customer screen. Shipping labels - (any format) can be printed right from the customer screen. Individual statement - Can be instantly printed right from the customer screen. Unlimited terms file can be defined. So if you are already using a format you like, no problem! Service charges and late fees can be computed, if desired. Individual customers can be shielded from service charges. Five different sets of notes may be attached to the invoice itself with unlimited text! One set that can also be printed directly on the invoice. 5 different aging report formats for customer receivables! Unique on screen customer aging window. Get up-to-the-minute information on your receivables with the on screen aging. This great feature displays an aged customer list and even allows any customer to be selected and viewed! You can even make cash receipts right off the aging screen. This is a great feature for that lucky person in your company who works collections! Flexible repetitive invoice billing. This feature allows customers to be set up on a billing schedule. Invoices can be produced in batch for all customers who need to be billed on a regular basis. Multiple-page invoices. No restriction on the length of an invoice. We have customers who make invoices and orders with hundreds of line items. Printing is no problem. Use your current invoice format! SNAP-2-IT provides you with 5 different styles of invoices at the same time. Each style can be customized to the way you want. Sales tax report - Especially nice for those who live in California or other states which require extensive breakdown of sales tax collected. Commissions by invoice - Can compute multi-level commission structures. Each sales person can designate who else is also to get commissions as well as the rate. Multiple accounts receivable accounts - Can be designated on each invoice if necessary. Instant line item sales history by customer - This is a great feature. Right on the customer screen, a single key brings up the DETAIL sales history for the customer. You can see everything. Browse or search by date. Back order invoices - Can display back order invoices by customer or for entire company. Unique copy invoice feature - Any invoice can be copied for fast recurring transaction or created back into a sales order for future sale instantly. Unique invoice transfer - Invoices can be transferred to another customer. If you make in invoice and then realize it's on the wrong customer, no problem! Just transfer it to the correct customer. If that customer has different pricing, the invoice can be automatically corrected! Return to Top of Page Order Entry Sales orders can be turned into invoices -You don't have re-enter the information. Separate list for orders - It allows sales people to stay out of the receivables and also allows for deposits to be put a transaction without generating an invoice. Copy open sales orders - Can be copied for multiple orders and even transferred to another customer record.. Works with special negotiated prices - If a customer has been given a special price for a particular item, the sales order uses that price. Copy sales order to a quote - Allows new quote with current items instantly. Transfer sales order to a different customer - If you realize that the order was entered for the wrong customer, simply transfer it to the correct customer without re-typing! Prepaid orders - Payments can be made against an order. When the order is turned into an invoice, the payment will be picked up automatically and will show up on the invoice. View all orders for each customer - View all orders from right on the customer screen. Helps reduce confusion in the sales department! Orders can be created from old invoices - This is great when a customer wants to order the same thing they bought last time or even last year. A payment can partially pay an invoice, and can partially pay several invoices. Corporate payments can be applied to multiple customer invoices. Return to Top of Page Quotations Quotations can be turned into an order or can be turned directly into an invoice. Five print styles can be maintained, each style can be customized. Any quote may be copied with a single keystroke. A quote may be transferred to another customer. This is useful when you want to make the same quote for a different customer. Just copy the quote and transfer the copy. Master file of open quotes. Quotes for a particular customer are viewable right off the customer screen. Shows net profit as you make the quote. Labels can be printed in batch, or individually printed from the customer screen. Shipping labels can be printed directly from the invoice or order and can be done in batch mode or individually per order or invoice.
