Set the Accounts Receivable (A/R) defaults:

On the configuration menu (from the main menu, press "C") select "5" A/R (customer) defaults to define the accounts receivable options.

This screen controls the operation of next invoice number, aging periods, etc.

There are several fields on this screen for account numbers. If you chose to use the generic chart of accounts, this information should be already filled in. If you have set up your own chart of accounts you will need to input the appropriate account numbers or codes here.

The Next Customer, Invoice, Receipt, Order, and Quote fields are set up with numbers so that SNAP-2-IT can automatically assign numbers to their transactions. You may always override the automatic number and change the transaction number at the time of its creation. Leave the Next Invoice# field blank if you want to assign your own invoice number.

The Default Cash Account# for Receipts is for automatically assigning the chart of account number that represents the bank account that customer receipts will be deposited to. Enter the same cash account number for Check, Cash, and Credit Card if you only deposit to one account. You may change the cash account number on the customer receipt if you have more than one deposit account.

The Default Sales is for any inventory item that has no sales chart of account number assigned to it. In most cases inventory items will have a sales chart of account number assigned to it.

The Customer Invoice Freight field is the chart of account number that keeps track of the freight amounts on customer invoices. Any freight amount entered into the freight field on an invoice will total into this chart of account number.

 

The Customer Invoice Tax field is the chart of account number that keeps track of the taxable amounts on customer invoices. This is usually called the Sales Tax Payable in your Chart of Accounts.

The Accounts Receivable field is the chart of account number that keeps track of the sales amounts on unpaid customer invoices.

The Customer Discount field is the chart of account number that keeps track of the discounts given on customer invoices.

The Prepaid Deposits field is the chart of account number that keeps track of the prepayments on customer orders.

The Aging Period fields are for the length of periods for your aging to report. In most cases the 30, 60, and 90 periods will do. If you are not sure, do not change these. If you do change these, remember to change the aging report header.

Ship-to Default - This option allows you to leave the Ship-to fields blank on quotes, orders, and invoices. Normal use should be set to "1".

Default Tax Area - Defines the tax area for invoices that are made when the customer hasn’t been assigned to a tax area. This is mostly used for "point of sale" situations where only brief customer information is entered.
